Our Policy

For us to be fair to all of our members, we have a long standing policy concerning hotel rooms.

In it's simplest form, members who attend this month's event have the first opportunity for the same room next month by signing up for next month's event (sign up sheet is available when receiving your arm bands). 

If you would like to have a different room, please indicate on the sign up sheet for next month, requesting a specific room number or type of room. This does not guarantee a different room as room availability is subject to the same policy as stated above, however, you will get your room or one comparable to it.

If you miss a month for any reason,  your room will become available to another couple.  They will have the opportunity to have that room each and every month until they either miss a party or decide to move to another room.  We understand that things come up that may prevent you from attending one of our events, however, when it comes to the assignment of rooms, we must be fair to everyone.

Hotel Policy (checking in after 6pm)

The hotel has a separate policy for checking in.  If you have a reservation for one or both evenings and you expect to check in after 6pm, you must call the hotel and provide them with a credit card to hold your room.  Their computer system will automatically release all open rooms not covered with a credit card at 6pm, resulting in the loss of one or both nights of your reservation.

We do not want our members to be disappointed to find out their reservation was cancelled, however, this is the hotel's policy and outside of our control.  Please call the hotel no more than 2-3 days prior to your reservation and provide them with your credit card information if you will be checking in after 6pm.    Please understand however, that in the event that you fail to check in after providing your credit card number, you will be charged for the room.

We encourage you to cancel your reservations as soon as possible in the event you will not be able to attend so that your credit card will not be charged.
